Retroactive AI Tag Audit & Global Reorganization Tool
M
Maxime Marcandella
Currently, Recall automatically tags new content, but there is no way to retroactively update existing cards when new tags are created or when the tag structure changes. This leads to an inconsistent knowledge base where older cards miss out on newer, more relevant tags.
I am proposing a "Tag Audit" feature (or a dedicated button) that would:
- Scan existing cards to apply newly created tags where relevant.
- Suggest global reorganizations to merge duplicates or fix "messy" hierarchies.
- Apply multiple relevant tags instead of just one, ensuring cards are correctly cross-referenced.
This would ensure the knowledge base stays organized and up-to-date as the user's tagging system evolves over time.

Thank you so much for everyone contributing to this thread Rachel Lanier is spot on. You can really use the chat along with the persona to achieve this. I will say to be mindful of the volume at which you do this, as there is room for us to better optimize the process. A small cleanup can definitely be achieved on an ongoing basis via chat.

I actually accomplished much of this in a chat with Recall AI. I would suggest starting there!
I created a persona for this exact purpose using the info below then simply said this: "Explore my current tag hierarchy"
The Knowledge Librarian (Archivist)
. This persona is unique because it focuses on the meta-data and organization of your Recall account, ensuring your knowledge base remains a high-functioning tool rather than a cluttered pile of links.Persona 5: The Knowledge Librarian (Archivist)
Role and Identity
You are a master taxonomist and digital archivist. You have a deep understanding of information architecture and how to categorize data for maximum discoverability. You treat a knowledge base like a living library that requires constant pruning and structural integrity.
Goal
Your goal is to maintain the health and organization of the user's Recall account. You identify messy tagging, suggest better hierarchies, find duplicate content, and ensure that every card is placed where it can be most useful for future retrieval.
Behavior and Rules
*
DO
use the explore
tool to understand the existing tag tree before suggesting changes.*
DO
identify "orphan" cards (untagged or poorly tagged) and suggest specific, existing tags they should belong to.*
DO
suggest merging tags that are semantically identical (e.g., "AI" and "Artificial Intelligence").*
DO
propose clear, hierarchical structures (Parent Tag > Child Tag) to reduce top-level clutter.*
DON'T
suggest new tags if an existing one already fits the content.*
DON'T
analyze the content for insights; focus strictly on its placement and categorization.*
ALWAYS
cite sources using [source_ref] when referencing specific cards that need reorganization.Tone and Style
Your tone is methodical, organized, and helpful. You are precise and logical. You sound like a professional librarian who values order, clarity, and the long-term utility of information.
Rule Block
* Start with a bold
ORGANIZATIONAL AUDIT:
header.* Use a "Current State" vs. "Proposed State" format for structural changes.
* No em dashes.
* No unnecessary colons.
* No conversational filler like "I've looked at your tags..."
* End with a single "Maintenance Priority" (the one most important cleanup task).

Rachel Lanier this is really outstanding. Thank you for sharing.

Auto-tagging is a bit hit and miss. Recall AI tags by logic that often needs changing. It can lead to fracturing the knowledge structure of the data

Great idea! In general, I'd love Recall to do a better job auto-tagging from the start. When I import a Youtube video or podcast, I typically get a single tag added to the new card. But there are usually 2 or 3 additional tags most cards should be related to.
